Craft Travel Booking Terms & Conditions

Welcome to Craft Travel. Craft Travel Group LLC, doing business as Craft Travel (“Craft Travel,” “we,” “us,” or “our”), is delighted to design and manage your luxury travel experience.
These Terms & Conditions (“Agreement”) govern all travel planning services, custom itineraries, accommodations, flights, ground transport, guided tours, and related services provided by Craft Travel Group LLC.
By confirming your itinerary, submitting a Travel Planning Deposit, paying an Invoice, or embarking on a trip designed by Craft Travel, you (“Client,” “you,” or “your”) acknowledge and agree to be legally bound by this Agreement.
1. Key Definitions
Craft Travel: Craft Travel Group LLC (dba Craft Travel), a licensed Florida Seller of Travel (ST# 41155).
Client / You: The individual confirming the booking, all travelers listed on the Itinerary, and any party on whose behalf travel services are purchased.
Travel Planning Deposit: A non-refundable fee of $250 to $1,000 required to initiate customized itinerary planning.
Proposal: A non-binding, conceptual overview of a proposed trip, including sample itineraries, cost estimates, and these Terms & Conditions.
Itinerary: The final, detailed travel plan crafted by Craft Travel, encompassing accommodations, transportation, tours, and activities.
Invoice: The formal statement of costs specifying payment schedules and the Total Confirmed Price.
Total Confirmed Price: The comprehensive cost of your confirmed trip, including applicable taxes and supplier charges (excluding credit card processing fees, where applicable).
Supplier: Any independent third party providing travel services, including airlines, hotels, lodges, villa operators, transport companies, cruise lines, and local guides.
2. Travel Planning Deposit
To initiate bespoke trip design following your initial consultation, Craft Travel requires a Travel Planning Deposit ranging from $250 to $1,000, depending on trip complexity.
Credit Toward Booking: If you book your itinerary with Craft Travel, 100% of this deposit will be credited toward your Total Confirmed Price on your final invoice.
Terms of Deposit: The Travel Planning Deposit is:
Non-refundable and non-transferable.
Valid for a single trip planning project.
Subject to expiration three (3) months from the date of issuance if an itinerary is not confirmed.
Devoid of cash value and non-redeemable for cash or gift cards.
3. Proposals, Booking & Payment Confirmation
Non-Binding Proposal: Initial proposals and quotes are provided for conceptual inspiration only and do not constitute a confirmed reservation or price lock.
Booking Acceptance: To confirm an itinerary, you must accept the proposal digitally via the secure link provided by Craft Travel.
Invoice & Price Guarantee: Upon acceptance, Craft Travel will issue an official Invoice and updated Itinerary. The Total Confirmed Price is guaranteed only once the required Confirmation Payment is received by Craft Travel.
Payment Window & Price Adjustments: If the Confirmation Payment is not received within 48 hours of invoice issuance, pricing is subject to adjustment due to supplier rate changes, currency fluctuations, or availability shifts.
Final Payment Schedule:
Confirmation Payment: Due upon booking acceptance as specified on your invoice.
Final Balance: Due in full no later than sixty (60) calendar days prior to the scheduled departure date.
Late Bookings: Full payment is required immediately upon booking for any travel scheduled within 60 days of departure.
Payment Methods & Fees: Payments must be made via credit card or electronic funds transfer (wire/ACH). Cash and traveler's checks are not accepted. Credit card transactions may be subject to a standard non-refundable merchant processing fee (3.5%).
Travel Documents: Final vouchers, flights, and travel documentation will be issued digitally approximately 10 to 14 days prior to departure, contingent upon receipt of full payment and completed traveler information forms.
4. Inclusions & Exclusions
Included Services: Your confirmed Itinerary explicitly details all tours, transportation, accommodations, admissions, and meals included in your package.
Excluded Services: Unless specifically itemized on your Itinerary, the Total Confirmed Price does not include:
International and internal airfare (unless explicitly noted).
Travel, trip cancellation, and medical emergency insurance.
Passport, visa, and entry/exit border fees.
Airline baggage charges, seat selection fees, and excess baggage costs.
Gratuities for local guides, drivers, trackers, and hotel staff.
Personal expenses (laundry, room service, phone charges, optional excursions).
Meals and beverages not specified in the Itinerary.
5. Cancellation & Refund Policy
All cancellations must be submitted to Craft Travel in writing via email to info@crafttravel.com. Cancellation takes effect on the business day written notice is received by Craft Travel.
Because Craft Travel immediately remits non-refundable deposits to international suppliers to secure your arrangements, cancellations are subject to the following strict policy:

61+ Days Prior to Departure
Non-refundable Travel Planning Deposit and Confirmation Payment are retained. Client is responsible for any additional non-recoverable supplier fees or penalties. Remaining balance refunded.
60 Days or Fewer Prior to Departure
100% non-refundable. No refunds will be issued for any portion of the Total Confirmed Price.
Additional Cancellation Rules
Supplier Terms Take Precedence: Third-party suppliers (e.g., luxury safari lodges, private villa rentals, cruise ships, or holiday peak bookings) may enforce stricter cancellation penalties. Client is responsible for all non-refundable supplier fees passed through to Craft Travel.
Airline Tickets: All airline tickets are non-refundable once ticketed under carrier rules. Ticket changes or reissuances are subject to carrier fees and fare differences.
Unused Vouchers: No refunds or credits will be issued for unused hotel nights, missed tours, early departures, or unused transport vouchers.
Discretionary Supplier Refunds: If Craft Travel successfully recovers funds from suppliers outside standard terms, recovered amounts will be returned to the Client less a $500 per person administrative fee.
6. Travel Delays, Changes & Changed Circumstances
Airline Disruptions: Craft Travel is not responsible for flight cancellations, schedule changes, delays, seating assignments, or lost baggage. Travelers must reconfirm flight schedules directly with operating airlines at least 72 hours prior to departure.
Voluntary Client Changes: Any voluntary modifications requested by the Client after confirmation are subject to supplier availability, price adjustments, and a Craft Travel change fee.
Changed Circumstances: Weather conditions, local closures, or safety factors may require itinerary adjustments before or during travel. Craft Travel will endeavor to provide suitable alternative arrangements of equal value. If alternatives incur additional costs, the Client remains responsible for supplier surcharges.
7. Force Majeure
Craft Travel accepts no liability and will not issue refunds for delays, changes, or cancellations resulting from Force Majeure events beyond our or our suppliers' control. Force Majeure includes, but is not limited to: war, civil unrest, terrorism, natural disasters, extreme weather, floods, fires, epidemics, pandemics, government entry restrictions, quarantine mandates, airport closures, or industrial strikes.
8. Travel Insurance Requirement & Recommendation
Strong Recommendation: Craft Travel strongly advises every traveler to purchase comprehensive travel insurance covering Trip Cancellation, Trip Interruption, Emergency Medical Evacuation, Medical Expenses, Loss of Luggage, and Travel Delay.
Specialized Protection: For optimal protection (including pre-existing condition waivers and Cancel For Any Reason coverage), policies should typically be purchased within 14 to 21 days of your initial deposit.
Disclaimer: Craft Travel is not a licensed insurance agent. While we can assist with third-party insurance quotes, policy terms are governed strictly by the insurance provider.
9. Passports, Visas & Health Advisories
Passport Requirements: All travelers must hold a valid passport. Most international destinations require passports to remain valid for at least six (6) months beyond the intended return date, with at least two to three blank visa pages.
Visas & Entry Compliance: Clients are solely responsible for verifying and acquiring all necessary entry visas, transit visas, health declarations, and vaccination records prior to departure. Craft Travel is not liable for denied boarding or entry refusal.
Government Advisories: Travelers are responsible for reviewing travel warnings and advisories issued by the US Department of State (travel.state.gov) and the CDC (cdc.gov). Electing to travel despite government warnings constitutes an explicit assumption of risk.
10. Supplier Relationships & Agency Status
Independent Contractor Status: Craft Travel acts solely as an intermediary and agent for independent third-party suppliers providing travel services. Suppliers are independent contractors and are not employees, partners, or joint venturers of Craft Travel.
No Liability for Supplier Fault: Craft Travel is not responsible for any act, omission, breach of contract, negligence, injury, loss, delay, or property damage caused by any third-party supplier or vendor.
11. Health, Physical Fitness & Assumption of Risk
Fitness to Travel: By confirming a booking, you warrant that all members of your traveling party are physically and mentally fit to undertake the activities listed in the Itinerary.
Medical Conditions & Accessibility: Travelers requiring special assistance or medical accommodations must disclose these needs prior to booking. Craft Travel cannot guarantee specialized medical support in remote travel destinations.
Assumption of Risk: International travel and adventure activities involve inherent risks. You voluntarily assume all risks associated with travel, including exposure to illness, physical injury, property loss, or emergency evacuation.
12. Release of Liability & Indemnification
Waiver of Claims: Client, for themselves and their heirs, successors, and assigns, hereby releases, waives, and discharges Craft Travel Group LLC, its officers, directors, employees, and agents from any and all liability, claims, or damages arising out of personal injury, death, property loss, illness, or travel disruption.
Indemnification: Client agrees to defend, indemnify, and hold harmless Craft Travel Group LLC from any third-party claims, liabilities, losses, or legal costs arising out of Client's breach of this Agreement or conduct during travel.
Limitation of Liability: To the maximum extent permitted by law, Craft Travel’s maximum aggregate liability arising under this Agreement shall be limited to the net commissions retained by Craft Travel for the specific booking. Craft Travel disclaims all indirect, punitive, or consequential damages.
13. Data Privacy & Personal Information
Craft Travel processes traveler personal information—including Sensitive Personal Information (SPI) such as passport numbers, citizenship, and medical/dietary preferences—strictly as necessary to fulfill travel itineraries and satisfy regulatory mandates.
All personal data handling is governed by the Craft Travel Privacy Policy, incorporated herein by reference.
14. Governing Law & Dispute Resolution
Florida Law: This Agreement is governed by and construed in accordance with the laws of the State of Florida, USA, without regard to conflict of law principles.
Exclusive Venue: Any legal proceedings or disputes arising out of this Agreement or trip booking shall be brought exclusively in the state or federal courts located in Miami-Dade County, Florida.
Time Limit for Claims: Any claim against Craft Travel must be submitted in writing within 180 days following completion of travel. Any legal action must be commenced within one (1) year of trip completion.
Collection Expenses: In the event Craft Travel must take legal or collection action to recover unpaid balances, Client agrees to pay all reasonable collection costs and attorney’s fees.
